Virtual Folders
A Virtual Folder is used by Advanced Outbound Rules to create a "mirror" of a folder at the destination.
When an Outbound Rule transmits to a Virtual Folder, after processing the message the destination folder will only contain the files stored in the original (transmitted) folder (that is, any files which do not exist in, or have been deleted from, the original folder will also be deleted from the destination folder).
Because the aim of a Virtual Folder is to mirror the original folder, the Delete Files Once Sent option (Outbound Rules - WHAT) cannot be selected, however, you may wish to track changes using the Done folder options (Save copy of sent files, Zip copied files and Build Archive).
Usage notes:
- Virtual Folders will not allow you to transmit data directly to a Recipients desktop (using the Desktop Alias) although you can transmit to a folder stored on the Recipients Desktop (for example, [DESKTOP]\Update will transmit to a folder called "Update" on the Recipients desktop). Transmitting directly to the desktop is expressly prohibited as many other objects (such as shortcuts and executables) are stored on the desktop and also because the desktop is frequently used as a convenient storage location by many Windows users.
- If you use a Virtual Folder with Send Files When option other than Always (for example, If date/time is newer) then obviously only those files that have changed will be transmitted, and any files that have been removed from the originating folder (redundant files) will be removed at destination. However, if no files have been modified since the previous transmit time, then no message will be sent which means that the instruction to remove redundant files at the destination is also not sent. Therefore, if you are using a Send Files When option and it is important to you that redundant files are removed at the destination, you should use Surefire Delivery and the Clear Redundant Files option.
- Before transmitting a Virtual Folder, we recommend that you advise your intended recipients to ensure that there will be no conflict between the folder you are transmitting to and a pre-existing folder that may contain data. Please note that responsibility for the safe use of this feature lies with the user. Computer Works will accept no responsibility for any data lost as a result of using this feature.
