From (the criteria)

Here you indicating what MailRules should look for in an incoming e-mail message. The Sender (From), Subject or Attachment details of the message may be specified in any combination.

In this field you can specify e-mail addresses. This field can contain multiple entries separated by commas and is case insensitive, for example:

Chas.Mingus@MailRules.com, harry.bukowski@mailrules.com

You can also use the wildcards ' * ' and ' ? ' to extend the range of choices. e.g. *@mailrules.com would allow all messages from the mailrules.com domain to be accepted, while DD??@mailrules.com would allow mail from the mailrules.com domain where the e-mail address begins with "DD" and is followed by any two other characters.

Clicking the From button will display your MailRules Address Book where you can select multiple Senders or a Distribution List. If you are setting a Rule to clear messages from multiple Senders, we recommend you use a Distribution List.

Subject

This field tells MailRules exactly what subjects to look for.

You can simply enter a keyword or phrase common to the mail that you are expecting or you can use the Expression Builder.

You would set up a rule that will trigger on all messages with the subject 'Price List' by specifying 'Price List' as the subject component of the rule. To create a rule that would trigger on mail containing the words 'Price List' as part of a longer subject you would specify '*Price List*' as the subject component of the rule.

Note that this field is case insensitive.ie. "SALE" is the same as "sale" and "sALe".

Attachment

In this field you can specify the attachments that you want MailRules to process by entering a filename, or a wildcard specification. You can specify multiple types or names of attachments, separated by semicolons, and MailRules will handle them all.

The message does not have to contain all of the specified types for the rule to run. You could for example specify *.txt, *.doc, *.xls files and receive only one of the attachment types to have the rule run.

You can also use wildcards in the file names so that all files of a specified type will be processed.e.g. *.txt will mean all the text files will be processed by the rule. You could for example specify that all files DD??.txt be selected by the rule to process a specific series of files.

If you have a very clear idea of the files that your rule is to look for then you can specify a full filename too e.g. 'Sales Report.doc'. In this example you can still specify multiple filenames.

You can also specify a mixture of specific names and names that include wildcard characters.

Please note that if you are receiving attachments via SMTP/POP that MailRules may take longer to process your inbound messages.
