MailRules has the ability to invoke business processes before and after sending and
receiving files via email.
MailRules can run another application on receipt of the information allowing you to update
barcodes, pricing files, or point of sale systems and copy the information to head office
simultaneously or on a regular basis.
Savings are generated by the control of obtaining data or information in a very timely manner,
usually outside normal business hours without the need for costly technical staff at these
remote sites. Music Stores throughout Australia are a very good example of the use of
MailRules. Head office poll’s the stores 4 times a day, and return sales, product and
pricing data to those stores 4 times a day. They have kept their communications costs to a
minimum by utilising email as there transport methodology. The computer at the retail store
automatically dials-up the Internet, passes the data in a secure encrypted manner, and logs
off the Internet, with no human interaction at the appropriate time scheduled. This has also
reduced the staff workload and increased productivity. The email is automatically detected
by MailRules at head office, and imports the sent data directly into the head office
application with no data entry staff required. The reverse procedure is also automated.
A Dial up Internet connection is significantly more cost effective than a leased line or even
the need to utilise ADSL technology with the Internet.

Large File Transfer
Transferring large files over the Internet has always been a problem with email.
As file sizes increase, more and more people are experiencing non-delivery.
With Microsoft Power Point Presentation and Microsoft Excel Spreadsheets exceeding
10 MB, people are experiencing difficulty delivering to recipients.
One of the key features of MailRules is the ability to send large files over the Internet
securely.
By setting up an Outbound Rule, MailRules can automatically zip, encrypt, and split the file
or files into little chunks and transmit to locations. Once received by MailRules the file
or files are automatically , unzipped, unencrypted and unsplit at a destination directory.
With the continuing reduction in bandwith available on the Internet, and the costly hardware
and software necessary to overcome this issue. MailRules allows users to utilise normal,
simple and cost effective email technology to transfer these large files or documents in
a very secure manner as very small packets of data and re-creates the file at the
receiving computer. It is much simpler and infinitely more cost effective to send many
small files over the Internet than one or two large files. MailRules also removes its own
email from your mail system automatically to ensure your electronic mailbox does not become
overloaded with email, and consequently very unwieldy.
A good example of this feature is Suburban Newspapers, an INL subsidiary, who
receive very large PDF files from their advertising agents, which are then directed
to the most pertinent staff member immediately. This is a very good service for
their clients, and also increases their own staff productivity.

File or Directory Replication
Using an Advanced Outbound Rule MailRules can be setup to synchronize files on a timely basis.
This is an extremely useful function if you want to keep price lists or stock information
up to date on remote locations without user intervention.
MailRules has the ability to send files if "date and time is newer on the file ", "file version
number is newer", or if "date and time ,and file version number is newer"
File or directory replication within MailRules allows businesses to setup a master copy of
information and automatically replicate any changes to remote locations using email.
This feature is a great way to keep clients and/or staff informed of any changes in policy or
pricing (or any other pertinent details). This certainly improves staff or client

MailRules Profesional provides a comprehensive reporting tool providing a means for an
administrator to monitor and maintain a robust MailRules community.
MailRules reports on success and failures for all Inbound and Outbound Rules, including the
successful launch of a remote application. These reports can be viewed locally or by an
administrator from a central point in a specific MailRules community.
MailRules will highlight any failures in the report to optimise the users time for diagnosing
problems.
Reporting works closely with the Administration feature to provide staff with
pertinent information on the monitoring and control of the automated business processes.
They can be proactive on their support rather than reactive, even by WAP phone if desired.

address (only process email from certain approved senders), but also by subject (only process

Internet Backup
MailRules enables businesses to backup critical information securely using the Internet.
MailRules allows a user to send a current copy of specified files and / or directories
to an external email address. This information can be automatically reconstructed at a
remote destination if the user has MailRules.
By sending critical files to an external email address an off-site backup is available in
the event of data loss on the main site. This is also ideal for securing information on notebooks
and remote computers.
This feature is a very cost effective method of ensuring remote sites have a regular procedure
for backup of the local files onto a larger, and probably more secure, storage facility.
This process can be completely automated with reporting and administration functions with
significant savings in time, effort and associated costs. Non-technical people now do not
have to remember to do back-ups at remote site’s, and technical people at head office can
take control of this important function.

Overcome ISP Size Limitations
MailRules can be configured with a maximum attachment size. If the combined size of all
attachments combined into a single compressed file is greater than this size, the single
compressed attachment will be broken into sections of the specified size and transmitted
as individual messages. At the destination MailRules PC, these sections will be combined
back into a single compressed archive and decompressed back into the constituent files on
the remote specified location. One of the reasons for implementing this feature was to
overcome the maximum file size limitations imposed by some ISPs and corporate email policies.
MailRules also overcomes mailbox file size limits with it's patent pending process called
"SureFire Delivery" (MR Professional) . This process allows users with limited space email
accounts to transfer large amounts of data. A process of flow control between one MailRules
user and the other achieves this.
This procedure overcomes the mailbox file size limit by a combination of detecting the
recipients file size limits and transmitting only one section of the message at a time.
As the Internet becomes more and more important to business organisations, and the load
through the ISP’s increase accordingly, restrictions on service or the increase in cost
of these services will occur. MailRules can overcome these restrictions and still deliver
the file successfully.

Update Software Remotely
For companies who distribute software updates, MailRules will allow timely updates
to their software (Assuming a method exists that allows the application files to be updated.)

Virtual Folders (MR Professional)
"Virtual Folders" is a MailRules patent pending process that allows a user to create virtual
folders on remote locations.
A virtual folder is a selectable repository for files transported by a message arriving on your
machine.
With each delivery all existing files are removed. This has the effect of creating a one way
mirror in that the files from the originating site will be exactly re-created at the recipient
site. These could then be amended and returned for delivery into another virtual folder thus
passing updated versions of files to and from MailRules sites.
The virtual folders location is defined by the working folder in the Settings window and will
be created as required under that folder.
Clients can control the destination folder by utilising [Desktop], [My Documents], or user
defined aliases to represent the folder they want information placed into, without having to
know the precise path to the folder. This simplifies the process of knowing the drive map of a
particular remote computer.
A very useful tool to send data or information direct to another computer use, with the
knowledge that the data will be placed within the correct ’folder’ for display or processing
according to the business process to be automated. Virtual Folder ensures that the pertinent
data does not reside in the computers electronic mailbox without any appropriate action.
How many times do you send an email to some one and nothing happens. Take control.
A local government entity uses this facility to instruct their maintenance contractors on
activities that the contractor is to accomplish, by sending an email with an attached file
overnight. The contractors computer automatically dials the Internet for any appropriate
MailRules emails upon starting in the morning, and downloads the attached file possibly with
digital photo and inserts the file directly into an Excel spreadsheet, and displays the
spreadsheet immediately for the contractor. Once the activity has been completed, the
contractor completes the spreadsheet profile, and MailRules sends the file back to the local
government entity and automatically updates their computer system and begins the payment
process for the contractor.
A very simple yet highly effective solution that reduces the processing costs for the local
government entity and the contractor. Isn’t this the idea of an eBusiness solution.

Datasources (MR Professional)
MailRules Datasource allows you to get dynamically generated information from an external
source. For example you can get a list of recipients and attached files/folders from an
external source, rather than what is specified in the Outbound Rule.
Datasource has been designed to allow web servers, external applications and contact
management systems to provide a list for Outbound Rule processing.
Presently MailRules supports a .TXT file, Microsoft Execl spreadsheet or an Microsoft Access
Database as a Datasource.
TipTop IceCream (New Zealand) use this feature to link their Oracle ERP system with MailRules. They populate the
Datasource with the fax or email addresses, plus appropriate remittance advice notices, for
the suppliers they wish to pay. MailRules then automatically decides if the supplier is to
receive a faxed remittance advice or an emailed remittance advice according to the information
sent to the Datasource feature from the ERP system. A super automated mailmerge eliminates
human error when building an address list.
